City of
North Wildwood, NJ
Goal: Since our records are primarily in paper format and distributed in several places, our goal was to simultaneously create a centralized digital platform for our most critical documents, make them available to staff, and protect them.
Solution: The City of North Wildwood selected ShoreScan Solutions because they not only exceeded the technical concerns, but could back it up with experience. They decided to recycle the slower Epson scanners for new medium-duty Canon scanners, which directly interfaced with the new repository. The new "cloud" for the documents combined with scanners and training now provides staff a single digital location for the most important documents. Over the next couple of months, security of this information dramatically increases while the time responding to an OPRA request diminishes.
“ShoreScan Solutions is the answer to some important questions that we have had for years: What is the best way to store documents off site in case of damage to our records from a flood or hurricane? How can we get our various records into a searchable database that will provide easy retrieval for OPRA requests and auditor’s needs? Is there a way to do this and keep costs constant while our budgets are always being trimmed? ShoreScan Solutions understands our needs and has answered our questions!”

Problem: As a custodian of records for a number of business entities and investments, organization, security and responding to document requests
became an issue.
Solution: Create a secure on-line repository with the help of ShoreScan where .pdf files and direct scanning of paper can be stored by entity, category, investment, date, client, etc. Additionally, implement OCR text searching to find specific transaction numbers or stock information across the entire database of documents.
“Just a note to thank you for the sound advice you provided regarding our document issues. First of all, we have eliminated 26 cartoons of files that we had stored near our office in a very short time. This advice alone was well worth the switch to ShoreScan. Also, our need to research our stored documents when complying with legal and accounting issues has been greatly improved using your system. The job goes much faster, less expensive and easy to use. Unexpected improvements in productivity came from the email, direct load to the system and download functions saving time and paper. Additional unanticipated savings. We are elated with the security your system provides. Our fears of lost, destroyed or damaged documents have been laid to rest.”

Goal: To resolve the concerns with office paper storage and documents located in a remote storage shed without adding expensive servers and software.
Solution: The office manager and assistant decided off-site electronic document storage was the solution. After learning about ShoreScan’s turn-key service, Dagsboro became a client, acquired two scanners and a commercial-grade shredder to start the process.
"DagsboroTown Hall is a very small office, approximately 900 square feet. We have boxes and boxes of files packed tightly in a storage shed outside (not weather proof). When Ken came in to introduce himself and explained what his company could do for us, it was like angels singing. Since we have come on board with ShoreScan, I find myself more and more organized. Instead of making copies of everything that comes in or leaves this office, I just scan and go. We don't have to worry about finding another place to file it, only so that a few months later, we have no idea where we filed it! It is very user-friendly and I am very pleased with the company and its services".

Goal: To reduce the amount of time it takes to find documents. "Recently, we spent 3 days just to find the box the documents were stored in.
Solution: ShoreScan presented an affordable solution using Cloud based technology driven by Index Values and OCR text search. Over time and as we move through the conversion process to ShoreScan, the time and frustration of finding documents will incrementally decrease and eventually go away. Implementation of the ShoreScan service hence avoiding significant investment in local server based solutions and software. Taneytown recently adopted the service electing to use a centralized scanning station which minimized the initial equipment investment.
“Our new ShoreScan system was quickly installed and the training was effective and non-complicated. After implementation, we were loading documents within three days. The system is simple to use and helps us retrieve documents quickly.”
